Volunteer: Board Secretary

Horse Time Center for Equine Collaboration is seeking a dedicated, detail-oriented Board Secretary to join our mission of fostering human-horse partnerships. This role is perfect for a highly organized administrative retiree who thrives on efficiency and wants to contribute their skills to a meaningful cause.As Board Secretary, you will assist our governance operations, ensuring that communication flows smoothly and important records are maintained. You will work closely with the Board of Directors to uphold our organizational standards and support our growing equine programs.Responsibilities:Attend one 2-hour Board Meeting per month (remote or in-person as designated).Prepare and distribute professional meeting agendas in a timely manner.Record, finalize, and distribute accurate meeting minutes.Monitor and process organizational emails, ensuring inquiries are routed or answered.Maintain and organize digital files within Google Drive.Assist with administrative tasks to support Executive Director productivity.Required Skills and Tools:A history of successful administrative and organizational ability.Proficiency in the Google Workspace suite (Gmail, Google Calendar, Google Contacts, and Google Drive).Strong competency in Microsoft Excel and Word.Experience using PDF software for document management.Clear, professional written and verbal communication skills and willingness to try AI as a tool, if needed.Confident use of social media like Facebook and Instagram, if requested.Preferred Qualifications:Experience with the Wix website platform (highly appreciated but not required).Ability/willingness to learn to use non-profit platforms to manage donations and fundraisersAn attraction to equine collaboration and animal-assisted programs.Time Commitment:
Approximately 2 hours per week, in addition to the monthly board meeting.

We have 80 acres with fields, woods, fenced in pastures, gardens, a horse barn, a shop, a storage building and campsites that all need attention throughout the summer season. The owners can't keep up with it all and could use skilled volunteers to keep everything in attractive and working order.

Vegetable garden help for our onsite organic farmer

Electric fencing using electric rope, like Electrobraid

Fencepost placements

Gate maintenance

Manure management - composting picked up manure and dragging pastures

Hosting preparation and cleanup for Hipcamp sites before and after rental periods

Chainsaw clearing of fallen trees on trails

And that is just parts of it!

Clearly one person is not enough to keep up with it all, so many competent and energetic people are needed.

We prefer volunteers who can learn to recognize needs and assist, rather than us having to accompany them to get everything done - we will provide orientation to where to find tools and will expect tools to end up back in the same place they are found. 

Experience preferred:

Will train, and will appreciate people who bring experience and ambition to be part of a growing community of acceptance and support in an increasingly hostile and confusing world.

The Role

Horse Time CEC is seeking a dedicated, forward-thinking Volunteer Treasurer to join our Board of Directors. As a key financial leader, you will help ensure our organization's fiscal health and long-term sustainability.

Special Opportunity & Key Project

We are looking for a Treasurer who is eager to act as a strategic partner in our technological growth. A primary goal for this role over the next [3–6 months] is to research, evaluate, and implement (enact) a new, robust donor management platform and online donation system. This role will lead the transition from our current systems to a modern tool that streamlines donor data, improves fundraising efficiency, and enhances donor experience. Key Responsibilities Donor Platform Implementation: Research, recommend, and oversee the enactment of a new donor platform (e.g., Zeffy, Donorbox, Bloomerang, etc.).

System Integration: Work with our team to migrate data, set up automated donor tracking, and ensure financial reporting aligns with the new platform.

Financial Oversight: Oversee financial management, ensuring compliance with tax and reporting regulations.

Budget & Strategy: Collaborate with the board to create and monitor annual budgets and financial strategies.

Reporting: Present clear, timely monthly/quarterly financial statements to the Board of Directors.

Qualifications

Experience in nonprofit finance, accounting, or business management.

Experience with or interest in researching donor management software (CRM) or fundraising platforms.

Strong attention to detail and ability to organize financial records.

Ability to translate financial data into clear reports for the board.

Passion for our mission and a desire to see the organization grow.
